How does FileTank work ?
FileTank is a hosted service that users can access from anywhere with an Internet connection and a web browser. Virtual disk spaces called 'Workspaces' are used to manage projects, share and review documents.
What about software ?
The beauty of FileTank is that you don't need any special software to get going. All you need is an Internet browser and access to the Internet. You don't need to worry about your IT department setting FileTank up - simply log on from your PC, Mac or mobile and away you go. FileTank even allows you to send documents that are too big for email... Try it now!
What will be the benefit for my business if I use FileTank ?
Businesses benefit from solid communication techniques and sharing information, which is exactly where FileTank comes in. Yes, you can do this at any time. The modification takes place immediately and you can use your new package right away. The new amount will be collected on your next scheduled payment date.
How much does FileTank cost ?

How do I buy a FileTank ?
FileTank is a subscription based service. You can buy 30 day subscriptions to the packages that you choose. Go to the Prices page, find your package and click Sign Up. You must register or if you already have an account simply log in then create your FileTank web address and pay through PayPal. After making your purchase from the PayPal site, click the Return to Merchant button. You should come back to the FileTank site to obtain a printable receipt from us. In 5 minutes your new FileTank will be up and running.
You will be set up as an administrator automatically and will be able to start using your new asset immediately.
How do I modify my current subscription package ?
You can upgrade or downgrade your package at any time. After logging in and clicking the My Account link in the upper right corner, you'll see a list with all your FileTank subscriptions. Find the one that you wish to modify and click Modify. Modification is free of charge. Your new package will work immediately and the new amount will be collected on your next scheduled payment date. Please contact us if you encounter any problems or have any difficulties.
Where are my files stored ?
Your files are stored on our servers which are housed in a professional data center that is working 24x7. This allows you to upload and download at your leisure.
Is my data backed up ?
We have back up procedures in place and in case there is a problem with our system we will be able to restore your data. If you or one of your users accidently deletes a file or folder contact our Support as soon as possible.
Is the communication between me, my users and your servers secure ?
Yes, when you or your FileTank users connect to our servers, 256 bit Secure Socket Layer (SSL) technology protects your information using both website identification and data encryption. Your information (including files uploaded and downloaded) travels securely between computers.
What kind of file types can I upload ?
You can upload any type of file. If you upload PDF files or image files as 'bmp', 'jpg', 'jpeg', 'png', 'gif', 'tga', 'tiff', 'tif', 'psd' and 'wmf' or video files of the popular formats: '3gp', 'avi', 'flv', 'm4v', 'mp4', 'mpg', 'mpeg', 'mov', 'wmv' you'll be provided with a thumbnail preview on FileTank.
Can I upload multiple files on FileTank ?
Yes. The upload engines allow you to pick multiple files and upload them.
Can I download multiple files or folders ?
Yes. You can select as many files and folders as you want and download them. You'll get them in a single zip archive and the folder structure will be preserved inside it.

What is Workspace ?
A workspace is a structure for gathering related users, folders and files. Administrators have access to all workspaces; additional users can only access the workspaces they have been added to. Only administrators can create, delete workspaces and add ordinary users.
What about the FileTank users' hierarchy ?
There are two types of users:
  • Administrators have full access to everything in FileTank. They can create new administrators or promote existing ordinary users to the rank of administrator and vice versa. After purchasing a subscription you will automatically become the first administrator of your new FileTank.
  • Ordinary users have fewer privileges and can only access the workspaces they have been invited to.
What if I go over the limit of my package disk space or number of users/ workspaces ? What is the traffic limit ?
Do not worry as FileTank doesn't delete anything.
You simply cannot add new items until you have deleted some old ones and are back under your pre agreed limit. Alternatively, you can upgrade to the next package and get more allowance immediately. If you have reached your traffic limit you cannot upload or download more files. You can either wait until your next subscription period starts or upgrade.
Can I restrict access to some files or folders ?
Yes, an administrator can make files and folders read-only or hidden from ordinary users. Administrators have full access rights to all items and cannot be restricted.
Can I change the order of my folders and files ?
You can arrange your folders and files in alphabetical order, size, type, expiry date or date modified - either ascending or descending. Just click the column headers and folders and your files will be rearranged accordingly.
What if I have forgotten my username and/or password ?
Please note that for security reasons your account here is different from the one on your FileTank. If you remember the username, go to the respective login page and click I forgot my password link. If you don't remember the username either, go to our Support page and ask for assistance.
What if I don't like one particular feature or think something could be improved ?

What is FileTank - is it a program, a site or an FTP client ?
FileTank is a file sharing application that provides an easy and well organised way to share files with your clients and partners via Internet.

Who are the ordinary users and who are the administrators in Users panel ?
Looking at the Users panel one can easily tell who the ordinary users are - they come first and their e-mails are in normal font. The administrators come after the ordinary users and their e-mails are in bold.
Once I have logged in how can I see if I am an ordinary user or an administrator ?
If you are logged in and you don't see the Users tab in the left panel then you are an ordinary user. You have only Workspaces and Help and Support tabs on the left. If you are an administrator you can see Workspaces, Users and Help tabs in the left panel.
How many files can I upload at a time ?
There is no limit for number of files that you can upload. Bear in mind that they are uploaded one by one so you always upload only one file at a time.
Can I organise my workspace ?
Each workspace is a root element. Once you create it you can organise your workspace with folders and subfolders.
Can I restore deleted files after they have expired ?
No, once deleted from the system the files can not be restored, so chose carefully the expiry periods. In some cases we might help using our backup. Please contact Support as soon as possible.
Can I restore files after I or one of the users has deleted them ?
No, once deleted by a user files/folders can not be restored. You can check the history of the workspace to see when and who deleted the file/folder. In some cases we might help using our backup. Please contact Support as soon as possible.
Do I get a warning message that a file or workspace is to be deleted due to its expiry period ?
If a file is due to expire it will be deleted without warning.
Folders are not deleted - only the files they contain.
If a workspace is not used for a period, longer than your chosen workspace expiry period, the maintenance system of FileTank will inform you 48 hours before deletion by e-mail. If you don't take any action in the workspace(upload, download, rename etc.) it will be deleted automatically.
How can I find a user by their e-mail address or part of e-mail address ?
Open Users tab on the left, start typing the e-mail in the first field or the domain part of the e-mail in the second field. The list with the users becomes shorter with every keystroke. Only the e-mails that match the filter criteria are left. To go back to all users list delete what you have typed by pressing backspace several times.
How can I find a workspace by its name or part of its name ?
Open Workspaces tab on the left. Start typing the name of the workspace in the Name field. The filter will leave just the workspaces that start with the letters you type. To go back to all workspaces list delete what you have typed in by pressing backspace several times.
Is there a time limit after which I cannot resume broken uploads or downloads ?
Upload resume is supported. Upload again the same file in the same folder in less than 48 hours after the accident.
Download resume is supported. Your browser must be capable of resuming downloads. Resume the download in less than 24 hours after the accident.
The creator of a direct download link sets its expiry period. The possible values are four days, one week and two weeks.
Do I have a history of uploaded, downloaded and deleted files ?
Yes, if you are an administrator you can view the history of every workspace, file and folder. You can filter the history by different criteria and download a PDF file. Please refer to the History related Help video.
How can I delete a workspace's history ?
A workspace's history is deleted only when the workspace itself is deleted.

How do I create new Users ?

I am having trouble signing into FileTank, what can I do ?
Depending on the error message you get there are different possibilities:
  • If you have forgotten your password, use the password retrieval link.
  • If you have forgotten your user name go to http://www.file-tank.com/support and ask for assistance.
  • If you are not added to a workspace, contact the person who invited you to FileTank.
How can I replace an already uploaded file with an updated one with the same name ?
Upload the second file to the folder with the existing file.

When do I pay my subscription for FileTank ?
The first time you pay for FileTank is when you subscribe to it. When your subscription period finishes a new amount is collected automatically from your PayPal account and the subscription is renewed or you may choose to cancel and no more payments will follow.

Does FileTank require specific operating system ?
FileTank is web based service and is platform independent. All you need is a browser and an internet connection.
How fast is FileTank ?
The speed of FileTank for each user will vary depending on the speed of their internet connection. The FileTank servers are housed in a professional data center that is working 24x7 connected to the world with 100megabits internet connection, so you will be able to download and upload with your maximum speed. As for the speed of the FileTank itself, in normal conditions it is difficult to notice delays in its work. But when you download, copy or move very large files and folders several giga bytes big you should wait a few minutes.
Tip: cleaning History of deleted files and folders may speed up loading a workspace in a tab on the right.
Can I log into FT more that once from one computer ?
Yes, you can log more than once, but you need to do it in a different browser.
Can I log in more than once in the same browser ?
No, you can log in just once in the same browser.
What restrictions do administrators have ?
An Administrator has full access to everything in FileTank except for two things: they cannot delete themselves and they cannot delete 'Main workspace'.
What does 'observer of an ordinary user' mean ?
An Administrator who gets notification e-mails when this user uploads or downloads something.
How can I create a database with people and group them by different specifics ?
You can use groups of users. Group-user tree is a tree-like structure which appears when you open 'Users' tab on the left. A group is a top-level folder in the group-user tree. Group folders are all folders inside a group. Groups and group folders have 2 functions - to organize the ordinary users into meaningful lists and to help add ordinary users to workspaces easily. Groups and group folders can contain ordinary users and group folders only. You cannot add an administrator to a group or to a group folder. Only Administrators can see the group-user tree.
How do I add a user to a group/group folder ?
To add an ordinary user to a group/group folder, open the group/group folder in a tab on the right. Drag and drop the user from the list of users onto this tab.
How do I remove a user from a group/group folder ?
To remove an ordinary user from a group/group folder, open the group/group folder in a tab on the right. Select the user in the upper table and click the 'Remove' button. This removes the user from the current group/group folder but does not delete them.
How do I add a group/group folder to a workspace ?
To add a group/group folder to a workspace, open the desired workspace in a tab on the right. Now drag and drop the group/group folder from the group-user tree onto this tab.
When the group/group folder is open in a tab on the right it is possible to add it to a workspace from the bottom table's 'Add' button.
The results shown in History table does not allow selecting. Can I select, copy and paste them to another document ?
You can get a PDF with the results you see in History window. Then you can select and copy what you need. To download the pdf file, use 'Print to file' button in History window's bottom bar.
Is there a way that my old and unused content is detected and deleted automatically ?
Yes, if you are a FileTank Administrator you can choose the period after which the content is deleted automatically. Check Global settings under Home tab. By default nothing is deleted automatically. Administrators can change the expiry date at any time. Ordinary users cannot modify expiry dates and to prevent data loss their preferred file expiry date is 'never'.
Still don't worry that your FileTank will be cluttered with information. Workspace activity is monitored and those workspaces that haven't been used for a period, longer than your chosen workspace expiry period, after due warning messages, are auto-deleted.
Can I create a direct download link or public access link and let others download files ?
Yes, you can if you are an Administrator. Administrators can create a direct download link and then send it to multiple recipients.
To create a direct download link, first select the desired files and/or folders and click the 'Download' button.
The window with your link and a button for immediate download appears. Select the link and copy it. Then you can send it by e-mail or instant messenger.
You can watch the Download help video in your FileTank's Help section.
Have in mind that:
  • There is no need to create users and add them to the workspace.
  • The recipients don't need to log in to FileTank to download files, they just click the link.
  • You can choose the period during which the link will be available. The default is 4 days.
  • You'll get a notification for every link download and a record in file's history will appear.
  • There is no way to tell who downloaded the files if you have sent the link to several people.
Can I move files or folders between workspaces ?
Yes, if your user has write access to both folders: the one that contains the files/folders - the source folder and the one that you want to move the file to - the target folder. Just select the files/folders and drag and drop them to the target folder. Alternatively you can select them and click the Copy/Move button then browse to the target folder to move them.

What is the maximum file size I can upload ?
The maximum size for a single file is 10GB (10240MB).
Can I change the expiry date after it has been set ?
Yes, you can change the expiry date anytime you like. Just select the files/folders that you want to change, click the Expiry button and chose a new period from the drop-down menu. The new period will start from this moment on.
Does FileTank have a default deletion period and what is it ?
If you are an Administrator you can check Global settings under Home tab. Auto delete content default period is 'never' for all categories. Unless you change the Global and/or Personal settings according to your preferences nothing is auto-deleted. The files your users upload remain until someone changes their expiry date or deletes them manually. You must delete manually all unneeded workspaces, too.
How can I find a file by its name or part of its name ?
Type in the name of the file you're searching for or just the part that you remember in the Search field and hit Enter or click the loupe button. For detailed information about using Search on FileTank refer to related help video or ask for assistance our Support.
How do I know a file has been uploaded to a specific location ?
Both Administrators and ordinary users can get activity notifications about files uploaded, downloaded, etc.
Make sure the folder you are interested in is visible in the Workspaces tab on the left and click its More menu. Choose Watch for changes.
An Administrator can get notifications of certain user's activities by by becoming an Observer of this user.

How do I add users to an existing workspace ?
You can add ordinary users to workspaces, administrators have access to all workspaces therefore you don't need to add them.
To add an ordinary user to a workspace:
  • Open Users tab on the left, select the user. A new tab with the user details will appear on the right.
  • If you see 'This user is not assigned to any workspace.' text click the link Add. Otherwise click the Add button of Added to workspaces table.
  • Select the workspace and click Submit.

Alternatively you can just drag and drop the user from the users list onto the workspace if you have the workspace open in a tab on the right.
How can I delete users ?
You can delete a user only if you are an administrator.
You have two options: in Users tab either click the three vertical dots to the right of user's e-mail and from the More menu choose Delete user or, open the user in a tab by clicking them and click the link Delete user.
You cannot delete yourself.
How can I delete workspaces ?
You can delete a workspace only if you are an administrator.
In the Workspaces tab click the three veritical dots to the right of desired workspace's name and from More menu choose Delete workspace.
'Main workspace' can not be deleted.
Can I change my password ?
If your FileTank is integrated with your company's system of users and passwords you'll have to ask your IT department about password changes.
Only Administrators can setup passwords. In Users tab either invoke user's More menu and choose Edit login details or open the user in a tab on the right by clicking them and click Edit login details link. In the dialog box that appears find the password field, delete the old password and type in the new one. Press Submit.
How can I change an existing user from normal user to administrator or vice-versa ?
Only an Administrator can do it. In Users tab either invoke user's More menu and choose Edit login details or open the user in a tab on the right by clicking them and click Edit login details link. In the dialog box that appears check the Is administrator tick box to promote the user to the rank of Administrator or uncheck it, thus making them an ordinary user.
How can I upload a file, do I need Java, Flash or something else ?
No. If you are able to see this answer then your browser is all that you need.
You have all FileTank upload features: big files(up to 10 GB), resuming broken uploads, adding files by drag and drop.
Do all administrators get notification e-mails when a file is uploaded ?
There are two main occasions when an administrator gets notification emails.
The first is when the administrator is an Observer of an ordinary user and this ordinary user uploads or downloads something. No matter which the exact folder and workspace in which things happen the administrator gets the e-mail.
Secondly, when an administrator gets Activity Notifications for a particular folder. When something is downloaded, uploaded, copied or moved to such folders and its subfolders, the administrator gets the notification no matter who the doer is, provided it is not the administrator himself.
How do I change my time zone ?
Only Administrators can change time zones. If you are an Administrator, check Personal settings under Home tab. Make sure the checkbox 'Use personal settings' is ticked and press the New button.
A Change Timezone window will appear. You can select your Continent, Subcontinent and Timezone. The new time zone will always be used for your account even if you log in from a different computer.
When I change time zone does it affect other users ?
When you change the time zone in Personal settings under Home tab it will affect just your user, no matter what computer you are using.
A time zone change in Global settings under Home tab affects all users who haven't set their preferred time zone.
What restrictions do ordinary users have ?
Ordinary users cannot create and delete users and workspaces. They cannot view and edit users' details or add users to workspaces. They don't see History of files, folders and workspaces and cannot restrict access to files and folders or change the expiry dates.
Ordinary users have access just to the workspaces they are added to. If an ordinary user is not added to any workspace they cannot log into FileTank. Some files and folders can be read-only or hidden to them.
I need the others to learn as quickly as possible when I've finished the upload so they can start downloading. Is this viable ?
Both Administrators and ordinary users can get activity notifications about any changes(i.e. upload, download, even files copied or moved) to a folder and its subfolders.
'The others' must find the target folder in 'Workspaces' tab on the left and click the three vertical dots next to its name to invoke the More menu. Then select 'Watch for changes'.
How can I create a group ?
You can do this only if you are an Administrator. Open Users tab on the left, click the New button. From the New User or New Group dialogue choose Create a Group of Users. Follow the instructions.
How do I delete an existing group ?
To delete a group, click the three vertical dots next to group name in the Users tab on the left. From the More menu choose 'Delete group'.
How can I create/delete a group folder ?
To create/remove a group folder, open the target parent group folder in a tab on the right. Use the 'New folder'/'Remove' buttons in the upper table.
You can also create a group folder via parent's More menu. Click the three vertical dots next to parent group folder's name and choose 'New group folder'.
Can I view the contents of a folder or a workspace in a manner which allows copy and paste ?
You can download a PDF outlining just names of subfolders and the files they contain. Make sure the desired workspace or folder is visible in the Workspaces tab on the left. Click the three vertical dots next to its name to invoke the More menu. Choose 'Download contents list'. This function is Administrators only.
Is there an effective way find the History records I need ?
Please use the 'Filter' button in History window's bottom bar. You can filter records by several criteria.
After you submit and 'Filter' button appears toggled, the last filter terms are in effect. You can navigate to another page in the main window. You can sort records ascending or descending by clicking the respective column name.
When you click again and switch off the 'Filter' button, the default filter terms are applied which means no filtering.
If you don't close the History window, and press 'Filter' again, there appear the last used filter terms. If you close the window, last used filter terms are forgotten.
